Tempulli College, in order to meet the institution’s needs, announces a vacancy for the following position:
– Administrative Services Officer, one position
1. Role Tempulli College is seeking an Administrative Officer who will be responsible for coordinating, organizing, and supervising administrative processes within the institution. The position aims to ensure the efficient functioning of administration, management of official documentation, support for academic and administrative processes, and coordination between
organizational units. The Officer plays a key role in implementing institutional procedures, organizing administrative work, and supporting management structures in operational processes.
2. Main Duties and Responsibilities
· Coordinates and supervises general administration across all College units.
· Ensures the implementation of administrative procedures and institutional standards.
· Coordinates the flow of administrative documentation between units.
· Develops and maintains the document management and archiving system.
· Prepares official letters, decisions, notifications, and documents for signature by management.
· Coordinates official and administrative communication within the institution.
· Organizes administrative and academic meetings, prepares agendas, and meeting minutes.
· Records and archives decisions and monitors the implementation of meeting conclusions.
· Supports academic administrative processes, including class schedules, lecture documentation, internships, and diplomas.
· Manages staff files and prepares documentation for their employment (contracts, decisions, etc.).
· Records staff schedules, assignments, and leave.
· Supports recruitment and administrative orientation processes for staff. Collaborates with relevant units to ensure efficient institutional processes.
· Organizes the student graduation process.
· Prepares periodic reports on administrative activities.
· Performs other tasks as requested by the supervisor, in line with the position.
3. Required Qualifications
· University degree (Master’s preferred) in Management, Public Administration, Law, Economics, or related fields.
· Work experience of at least 2–3 years in administration or similar positions.
· Experience in organizing and managing administrative processes and documentation.
· Excellent communication and coordination skills.
· Strong organizational and managerial skills.
· Good knowledge of administrative procedures and official documentation.
· Proficiency in digital tools and document management systems.
· Very good command of English (knowledge of other languages is an advantage).
· Professional integrity and the ability to work in a team.
Workplace: BPrAL Tempulli College, Rr. Eduard Lir, 157, Lagja Arbëria, 10000 Prishtina, Republic of Kosovo Working hours: 40 hours per week
